How to use Schrole Verify

Schrole Verify is accessible from your Schrole dashboard right now! There are no subscription costs and no ongoing obligations. Just a clear, simple and completely transparent pay-as-you-go process.

 

The school user experience

Step 1: Enter your candidate’s email address

Once you add your chosen candidate’s email address, our system will run a check to see if we already have the user on file. If the candidate is in our system, we’ll prefill their first and last name for you. If we don’t, simply fill in the blanks. 

Step 2: Select your checks and options

Identity verification, criminal background checks, education verification, employment history and social media checks are now available. You can choose 5 or 10 years of criminal or employment history and 1, 2 or 3 education verifications.

Since April 2023, Verify is be fully compliant with the recommendations of the International Taskforce on Child Protection.

Step 3: Review your price estimate

Price estimates are provided prior to us collecting the candidate’s complete career history. Estimates are built from known average costs and may vary. Don’t worry, you can adjust the final order, including removing checks, once we have collected all the background information from the candidate.  

Step 4: Approve the finalised price

Once a screening candidate has provided their background information and consent to proceed with your requested check(s), we’ll email you to confirm the final details, including price, which can also be viewed on your dashboard in-app.

Follow the prompts to make any adjustments, including adding and removing checks or changing the time frames of verification. Once you’re happy, simply provide your credit card information and press pay. It’s that easy.

Step 5: Review or download the report

Completed background checks will be permanently and securely saved onto your Verify dashboard. Check statuses are displayed prominently against each candidate to inform you of any concerns identified in the screening process.

Reports can be downloaded if you wish to store them in a separate platform. 

The candidate experience

Step 1: Candidate receives your request

Your chosen candidate will receive an email letting them know a Verify background check has been requested on your behalf. Whilst the email will come from Schrole, your school name will be prominently displayed on the title and in the body copy of the check request.

If a candidate declines the request to be checked, you will be notified in your Schrole app, and the status of the check will be updated in Verify.

Step 2. Securely login to Schrole

If your chosen candidate is not already on Schrole, they’ll be asked to create an account. The candidate will need to provide their name and email address, as well as two-factor authentication to maximise platform security.

Once the candidate logs in, they will be taken directly to the check request, where they will be given a second opportunity to accept or decline.

Step 3. Complete details and upload files

If the candidate is known to Schrole, the information relevant to the ordered background check will automatically be populated into the required fields. If the candidate is new to Schrole, they can complete all required information from the convenience of their phone (as well as desktop and tablet), including file uploads and/or passport photos.

Candidates will be asked to double check the information before it is submitted for verification.

Step 4. Provide formal consent to the verification

Consent forms need to be downloaded so that a wet signature can be provided. This is to satisfy the requirements of a number of international governments. Without this, it’s likely Schrole will need to request a wet signature at a later date, causing delays and double handling.

For the convenience of schools and candidates, Schrole is actively pushing for digital signatures to be allowed through our established digital signature integration.
