How to use Schrole Engage
Schrole Engage seamlessly streamlines the laborious task of onboarding new staff. Created to provide a consistent and professional experience for all newly hired staff and faculty, Engage replaces onboarding spreadsheets, document folders, checklists and email trails.
In this blog, we’ll take an in-depth look at the Engage platform, including step-by-step instructions.
The school user experience
Step 1. Visit the Engage dashboard
Congratulations! You’ve found and hired your newest team member. Now it’s time for the onboarding process.
To begin, visit your school’s dashboard and select Send an onboarding plan.
Step 2. Enter your new staff member’s details
Completely customisable, our onboarding plans are designed to adapt to the circumstances of every hire. Forget one-size-fits-all solutions.
Enter the basic details of your new team member (name, email, position and commencement date) to get started.
Step 3. Select your onboarding template
As an Engage user, you can create a unique onboarding template to meet the requirements of any new employee. This includes expat/local staff, leadership roles, year groups and teaching areas.
You can even create workflows for existing staff and faculty who may need to do a compliance procedure such as child safeguarding training.
Step 4. Customise your template
Before pressing send on a template you can make personalized adjustments so information is always applicable to individuals’ unique circumstances. This includes information such as employee benefits, salary, and other fields that will change from employee to employee.
This means you don’t need to create dozens of templates for employees will go through the same general onboarding process.
Step 5. Set the date
Keeping all your new hires on schedule is the key to good onboarding. To ensure your new hire completes the onboarding process well ahead of commencement date, select your preferred due date for all onboarding documents and information.
Engage will keep track of progress and allow you to easily send reminders.
Step 6. Send the plan
It’s time to send your customised onboarding template to your new hire! Customise the email as little or much as you’d like, and press send. The candidate will be sent the email and provided secure access to your Schrole Engage portal.
Step 7. Review onboarding plans
Keep track of new staff members’ progress on the Engage dashboard. Statuses and due dates are displayed prominently against each new hire so you and your team are able to easily identify any delays or reasons for concern.
Want to review progress? You can sort by onboarding completion percentage, or search/filter by employee name or job type. Archive completed plans for an easy and auditable reference at a later date.
Step 8. Review documents
An onboarding procedure is not complete unless you are happy. As a school user, you have the power to reject documents which haven’t been uploaded correctly, as well as view auditable time and date stamps of every step and interaction.
No more searching through email trails to find conversations or difficulty finding the most recent/correct copy of a file.
The candidate user experience
Step 1. New hire receives onboarding plan
Your new hire will receive an email letting them know an onboarding plan has been created for them. Whilst the email will come from Schrole, your school name will be prominently displayed on the subject line and in the body copy of the email.
If they have any concerns, our support team will be available to answer their questions.
Step 2. Securely login to Schrole
If your new hire is not already on Schrole, they’ll be asked to create an account. The candidate will need to provide their name and email address, as well as two-factor authentication to maximise platform security.
Once the candidate logs in, they will be taken directly to the Engage dashboard and their new onboarding plan.
Step 3. Complete details and upload files
As part of their onboarding plan, new hires can securely sign contracts and other documents through DocuSign; upload personal details and confidential information, including visas; and read and agree to policy and procedure documents in advance.
New employees can even decline to complete sections if information is incomplete. The HR team will be alerted so changes can be made. These activities are all recorded on the audit log.
